How to prepare your first shipment

Already have your orders on Crowdsender?

Then it's time to generate your first shipment.

All orders on Crowdsender have a send date that marks the priority, and each order on the platform goes through different phases:

All these stages can be segmented on the ‘Overview’ page, filtered by day of send date.

✍️ Tip: If there are orders in any of these statuses that have been left over from previous days, Crowdsender will display an alert so that you can prioritise them.

Step 1. Order to be prepared and assigned to a group

To start the preparation, you must enter the ‘Pending to start’ detail. All orders on the platform are associated to a group from the moment they are registered as a sale.

✍️ Tip: These groups are configurable (from Settings > Account > Company > Groups) and help to assign tasks in a warehouse. They can be filtered by seller, courier, warehouse, destination, etc. Example: "I will first prepare only the 150 boxes with DHL courier and today's send date, as they have the highest priority."

Select the three points of the group you want to prepare and click on the ‘Start preparation’ option.

By activating this option, Crowdsender will close that group (it will not allow any more orders to enter that group) and will generate the documents associated to the orders: label, invoice, export documents if necessary, etc. If the group has many orders, the process may take a few minutes and you will be able to see its status in the bottom left corner of the platform.

When the process disappears, the orders will change from ‘Pending to start’ to ‘In preparation’.

If the title of the process turns red and any order appears in ‘Label failed’, it means that some of the labels of the whole group could not be generated due to an error in the destination data of some order. It is possible that the customer has entered the postal code, city, etc. incorrectly.

You must go into the detail of the process to detect the fault in the specific order and correct it in the shipment detail.

Step 2. Preparation: picking and packaging

Once the preparation has started, you must collect the products to put them in the boxes. You must enter to ‘In preparation’ and select the option ‘Picking list’. Here we will show you a table with all the products in that group.

Once you have all the products ready to be packed, you must select the ‘Packing display’ option under ‘In preparation’.

This functionality will show you, order by order, the contents you need to put in a box. When you click on the ‘Print documents’ button, the documents associated with that order will be printed and should be added to the box.

⚠️ Important: For documents to be automatically sent to your printer, you must install the Crowdsender Printer Plugin. Go to Settings > Integrations > Printers.

✍️ Tip: Remember that all the documents generated in Crowdsender can be reviewed or downloaded again in the "Documents" page.

Once the products have been added and the documents have been printed, you must press the green button that will mark the order as prepared and will be pending departure from the warehouse.

Step 3. Dispatch from the warehouse

Once the courier picks up the orders from the warehouse, you must mark the order as dispatched. This will allow us to inform the customer about the status of the order. You must go to "Pending dispatch", select the group that has been delivered to the courier and choose the "Mark as dispatched" option.

You can choose the dispatched date, if it was on another day, and add the transport license plate.

Once the orders have been confirmed as dispatched, your work will be successfully completed! The status of the boxes will change to “On route”, and you will be able to track the delivery by the carrier in the “Track & trace” page.

Step 1º In the “Inbound orders” tab, in the bulk options, you have the option to "Start preparation".

✍️ Tip: In the bulk options, you can also generate the labels before starting the preparation of a group. This allows you to generate the associated documents without having to start the preparation.

Step 2º In the order details, you will be able to see the products that need to be put into the box and you will be able to mark the order as prepared.

Step 3º Once marked as prepared, you can also mark it as dispatched within the order details.
